
What Funeral Directors Should Expect From a Tribute Video Partner
Recommending a tribute video service puts your name on it. If the video is late, or the family gets confused, or someone calls your office asking where the photographs went, that is your reputation, not the vendor's.

1. Turnaround measured in hours, not days
A memorial service does not move. A partner who quotes you a week is telling you they have not built their process around funerals.
Standard work should be delivered within 24 to 48 hours of receiving everything, with same day or next day available when a family comes to you late. Ask any vendor for that number directly, and ask what happens when they miss it.
2. The family uploads their own material
This is the single biggest difference between a partner who saves you time and one who costs you time.
If photographs have to come through your office, your staff is now doing file transfer: collecting envelopes, scanning prints, chasing a nephew for the ones on his phone, emailing files that are too large to email. That is hours per family.
The family should get a private link and upload directly. Your office should never touch a file.
3. No cost and no contract to refer families
Partnering should carry no fee, no minimum, and no exclusivity. If a vendor wants a commitment before they have produced anything for one of your families, that is a sales relationship, not a service relationship.
Payment should be straightforward in either direction: the family pays the vendor directly, or you include the video in your own package and bill it yourself at your own price. Both should be on the table.
4. A file that plays on anything
You should not have to install software, buy hardware, or test a format on the morning of a service. The delivered video should play from any laptop, television, or projection system already in your building.
Ask for what you actually need on the day, and expect all of it without a surcharge: a digital file for the service, physical copies for the family, and a private online link for relatives who could not travel.
5. Revisions the family handles directly
Families change their minds, and they change them the day before. That is normal, and it should never route through your desk.
Revision rounds should be included, and the family should be able to raise them with the vendor themselves. If your staff is relaying corrections, the process is built wrong.
6. Straight answers about music
Families almost always want a specific song, and it is almost always a commercial recording. A partner who tells you they will handle the licensing for that is telling you something that is not true, and that claim lands on your funeral home as much as on them.
The honest position: using a meaningful song at a private family service is the family's own decision to make, and the responsibility that comes with it is theirs to own. A good vendor will say that plainly, and will also offer a royalty-free library—with a proper usage permit included—for families who would rather not think about it. Ask the question early. The answer tells you a great deal about the vendor.
7. Coverage wherever the family is
Half of a family is usually somewhere else. Because everything moves through a portal, distance should not change the price, the turnaround, or who can contribute photographs. A grandson three states away should be able to add a picture from his phone the night before.
Signs to walk away
They cannot give you a turnaround number in hours.
They want your office to collect and send the photographs.
They ask for an exclusive arrangement up front.
They claim they license commercial music for you.
Revisions are billed per change, or routed through you.
There is no way for a family member out of state to contribute.
